PAYG Bookings & Membership
1. Who we are
These Terms & Conditions (“Terms”) apply to all bookings and memberships with FlexTee (“we”, “us”, “our”). By making a booking, purchasing a membership, or using our facility, you agree to these Terms.
2. Definitions
- PAYG Booking: A pay-as-you-go simulator session booked and paid for in advance.
- Member / Membership: A customer with an active monthly membership.
- Session: Your booked time slot in a simulator bay.
- Facility: The FlexTee indoor golf simulator venue, including bays and any seating/waiting areas.
3. Bookings (PAYG and Members)
- 1Booking required: All Sessions must be booked in advance.
- 2Pay upfront: PAYG Bookings must be paid in full at the time of booking.
- 3Members must still book: Membership provides access and benefits, but Members must still book Sessions.
- 4Arrive on time: Your Session time includes set-up and warm-up. Late arrival may reduce your playing time.
- 5Right to refuse / end a Session: We may refuse entry or end a Session if we believe safety is at risk, rules are being broken, or behaviour is unacceptable.
4. Cancellations, reschedules and refunds
4.1 PAYG Bookings
- 124-hour policy: You may cancel or reschedule a PAYG Booking for free if you contact us at least 24 hours before the Session start time.
- 2Under 24 hours / no-shows: If you cancel with less than 24 hours’ notice, arrive too late to reasonably use the Session, or do not attend, the booking is non-refundable and you will be charged in full (as payment is taken at booking).
- 3How refunds are made: Where a refund is due, we will refund to the original payment method.
4.2 If we cancel
If we need to cancel your Session (for example, due to equipment failure, maintenance, or circumstances outside our control), we will offer either:
- a reschedule, or
- a refund for the affected Session.
5. Membership terms
- 1Monthly membership: Membership is billed monthly at the price shown at the time you sign up.
- 2Membership benefits: Current benefits include 24/7 access, entry to leagues/competitions (where offered), and 10% off off-peak bookings (where applicable). Benefits may be updated from time to time.
- 3Booking still required: Members must book Sessions in advance.
- 4Changes to rules (including fair use): At present we do not apply a fair use limit on Member bookings. We may introduce reasonable limits in the future (for example, to prevent excessive bookings and ensure availability for all customers). If we do, we will provide notice and update these Terms.
- 5Non-transferable: Membership is for the named Member only and must not be shared.
- 6Membership cancellation: You can cancel your Membership at any time. Cancellation will take effect at the end of your current billing period unless we confirm otherwise.
- 7Failed payments: If a Membership payment fails, we may suspend Membership access until payment is received.
6. Age policy
- 118+: Customers must be 18 or over to use the Facility alone.
- 2Under 18s: Under-18s may only use the Facility if accompanied by a parent or legal guardian, who is responsible for the under-18 at all times.
7. Venue rules, safety and conduct
- 1Follow instructions: You must follow all safety instructions and any staff guidance.
- 2Appropriate behaviour: No abusive, threatening, discriminatory, or unsafe behaviour.
- 3Alcohol / substances: Anyone who appears intoxicated or under the influence of drugs may be refused entry or asked to leave.
- 4Footwear and equipment: Use suitable footwear and handle clubs and balls safely.
- 5Keep the area safe: Only swing a club in the designated hitting area and when it is safe to do so.
8. Damage, misuse and charges
- 1You are responsible for misuse: You are responsible for any damage to our equipment or Facility caused by misuse, reckless behaviour, or failure to follow instructions.
- 2Charges: We may charge you for repair or replacement costs where damage is caused by misuse.
9. Assumption of risk and liability
- 1Inherent risk: Golf and simulator use involve inherent risks (including being struck by a club or ball, slips/trips, or strains).
- 2Use at your own risk: You use the Facility and equipment at your own risk.
- 3What we do not limit: Nothing in these Terms limits or excludes liability for death or personal injury caused by our negligence, fraud, or any liability that cannot be excluded under law.
- 4Other limits: Subject to clause 9.3, we are not liable for indirect or consequential losses.
10. Personal property
You are responsible for your belongings. To the extent permitted by law, we are not responsible for loss, theft, or damage to personal property left unattended.
11. Privacy, CCTV and marketing
- 1Privacy: We will handle personal data in line with applicable UK data protection law.
- 2CCTV: We may use CCTV for safety and security.
- 3Photos/videos: If you plan to film or photograph in the Facility, please be considerate of other customers. We may restrict filming where it impacts others’ privacy.
12. Complaints and contact
If you have a complaint, please contact us and we'll aim to resolve it fairly and quickly.
13. Changes to these Terms
We may update these Terms from time to time. The latest version should be made available on our website. Changes will apply from the date they are published (or from a later date if stated).
14. Governing law and jurisdiction
These Terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
